Questions
Straight answers about what ChaseQuill does and does not do.
What does it do?
You list the documents you need from each client. ChaseQuill then sends that client up to 5 reminders, on day 0, 3, 7, 14 and 21, each sent during business hours in the client’s own time zone. Every reminder goes out in your firm’s name and lists exactly which documents are still outstanding.
Before each reminder is sent, the checklist is read again. Once you have marked every document received or no longer needed, nothing more is sent. Reminders also stop if an address bounces or a recipient marks one as spam.
Do you store my clients’ tax documents?
No. ChaseQuill never receives, stores or hosts the documents. It records only the names of the documents you asked for and whether each has arrived. Clients send documents to you the way they already do.
What it does store: your firm account, your clients’ names and email addresses, the checklists, and a record of each reminder. The full list is in the Privacy Policy.
Who writes the reminders? Is it AI?
No AI is involved. Reminders are produced from fixed, polite templates that get firmer only slightly as the sequence goes on, with your firm’s name, the client’s name and the outstanding documents filled in. No client data is sent to an AI model.
What does it cost?
It is free during early access. Signing up does not ask for a card, and nothing is charged.
How do I add clients?
One at a time, from the Clients page: a name, an email address and their time zone, then the list of documents you need from them. There is no spreadsheet import yet.
Will reminders land in spam? Can a client unsubscribe?
Reminders are sent through our email provider from a domain authenticated with SPF, DKIM and DMARC, which is what mail providers check first. Bounces and spam complaints are reported back and stop that client’s reminders.
Reminders do not yet carry an unsubscribe link. A client who wants them to stop can reply to the reminder or contact your firm, and you can mark the remaining documents as no longer needed.
Does it send WhatsApp messages?
Not yet: email is how reminders are sent today. WhatsApp reminders are being prepared. When they are available, a client will receive them only after agreeing on a consent page you send them a link to, and replying STOP will switch them off.
How long do you keep reminder text?
The subject and text of each reminder are deleted no later than 90 days after the reminder was created or sent. A short record that it existed — date, channel and status — is kept, because that record is what stops the same reminder ever being sent twice.
Who else handles the data? Is there a DPA?
These providers process data on our behalf to run the service. There is a Data Processing Addendum on the legal page; like the rest of our legal documents, it is currently a draft awaiting legal review.
